How to Get Court Records
Begin with the county's Courts & Justice Public Records Search. It covers Civil, Family, Probate, Criminal, Court Calendar, Jail, and Jail Bonds cases at both the state and local level. The landing page documents an asterisk wildcard for name searching. If the Tyler portal is down, re:SearchTX works as a statewide backup. It can help you find Gillespie County cases anywhere in the state. A docket header is only a starting point. You still need to name the document, the office that holds it, the format, and whether certification is required. Gillespie County gives requesters several ways in. Counter, phone, email, a mailed form, the local portal, and the statewide service are all options.
- Identify the court, cause number, parties, and exact record.
- Use the county portal or re:SearchTX to confirm the case.
- Choose the correct clerk and request route.
- State whether a plain, electronic, or certified copy is needed.
- Confirm the fee and delivery time before paying.
Gillespie Court Record Custodians
Each court keeps its own file. The District Clerk holds District Court pleadings and instruments. The same office serves as clerk for family matters heard under concurrent County Court at Law jurisdiction. The County Clerk keeps the constitutional County Court. It also holds non-family County Court at Law cases, probate, land records, and related official papers. Every justice of the peace maintains docket records for its precinct. For a Class C or ordinance case filed in Fredericksburg, call the municipal clerk.
| Record lane | Custodian | First contact |
|---|---|---|
| District civil, felony, family | District Clerk | Room 204, 830-997-6517 |
| County civil, misdemeanor, probate | County Clerk | Room 109, 830-997-6515 |
| JP case | Correct precinct office | Annex 1 directory |
| City violation | Municipal court clerk | 830-997-9935 |
Federal cases live elsewhere. Gillespie County federal matters belong to the Western District of Texas, Austin Division, reached through PACER or the federal clerk.
Types of Court Records
A Gillespie County court record can be a docket sheet or the document behind one entry. The county portal helps with discovery, but the clerk supplies records not available remotely. Ask for the narrow record that answers the need.
- Docket sheets and chronological event histories
- Petitions, complaints, answers, motions, and notices
- Signed orders, judgments, and dispositions
- Citations, returns of service, writs, and abstracts
- Public probate, family, criminal, civil, and JP materials where access is allowed
Exhibits and attachments may face special limits. A case being listed does not mean every page can be downloaded.
Gillespie District Court Record Requests
Copies of Gillespie County district court records start with the Gillespie County District Clerk. Email your request to districtclerk@gillespiecounty.org, or call 830-997-6517. The office sits at 101 W Main Street, Mail Unit 3, Room 204, Fredericksburg, Texas 78624. Plan on up to three business days. Same-day counter service is possible but never promised. Build that wait into any deadline you face.
Every request needs a cause number. Add the case style, the document you want, and a date range. Tell the clerk whether you want non-certified paper, non-certified electronic, or certified paper. No cause number? The published fee sheet lists a $5 search to locate one. The same fee applies to learning whether an instrument exists at all. Hold back private identifiers. Give them only if the clerk asks for them directly.
The official District Clerk page lays out the office's role and its links for record access.

That page ties the copy route to the office that maintains the district case file.
What a Court Record Contains
What is inside depends on the file. A docket is the chronological index, while a pleading or order is its own separate item. re:SearchTX materials describe broad detail groups: case numbers, case types, parties, attorneys, judicial officers, documents, and hearings. Read local labels from the actual case.
| Cause number | The court identifier used to match and request the file. |
|---|---|
| Case style | The caption naming the parties or proceeding. |
| Docket sheet | The sequence of filings, settings, orders, and status entries. |
| Pleadings | Petitions, answers, motions, notices, and other filed papers. |
| Orders and judgments | Signed judicial directives and decisions. |
| Exhibits | Filed material that may be restricted, sealed, or unavailable remotely. |
A case header is not the whole file. Ask for the signed record when the gap between a proposed and an entered order matters.
Gillespie County Clerk Record Limits
The County Clerk states that general users cannot print or purchase most search records through the website. Assumed-name and real-estate options are the identified exceptions. The same page notes that staff have not performed general-public Probate or Criminal searches since September 1, 2015. These are service limits. They are not proof that every Gillespie County court record listed there is closed. Use the county portal or come in person. Then ask for a known file or item. The County Clerk sits at 101 W Main Street, Mail Unit 13, Room 109, Fredericksburg. The office answers 830-997-6515. Bring photo identification for any transaction. Hours run Monday through Friday, 8 a.m. to 4 p.m., excluding holidays. Other clerk offices and older PDFs show different schedules. So confirm the counter before you travel.
Certified Copies and Fees
A plain copy just reproduces the record. A certified copy adds the clerk's certification and seal, which is why it costs more. The District Clerk schedule effective January 1, 2025 and the County Clerk schedule effective January 1, 2024 publish similar page charges, but they remain separate schedules for separate offices.
| Clerk and item | Published amount |
|---|---|
| District search for cause number or instrument | $5 |
| District certified paper copy | $1 per page plus $5 certificate |
| District non-certified paper copy | $1 per page |
| District electronic copy, pages 1 through 10 | $1 total |
| District electronic copy after page 10 | $0.10 per added page |
| County Clerk certified copy | $1 per page plus $5 certificate |

Check the controlling PDF before adding up a total. Filing, service, issuance, registry, search, and copy charges are all different transactions.
Gillespie Probate Record Copies
Probate and guardianship records in Gillespie County travel a different road. That road runs through the County Clerk. Copy requests, regular or certified, go to ccastaneda@gillespiecounty.gov. Regular copies cost $1 per page. Certification adds $5 on top of the $1 per page. One more charge arrives July 9, 2026. It is a $5 search fee per name or per case number. To start looking, open the Courts & Justice portal before you ask anyone to pull paper.
In your request, name the decedent or party. Add the case number if you have one. Say exactly which document you want. Tell the clerk whether you need a regular copy or a certified one. Filings sometimes demand the certified version. Keep the office's probate search limit in mind too. The clerk does not promise a broad name search for the general public. A tight, specific copy request is fair game. Asking staff to chase every possible probate case is not.
Gillespie JP Court Record Forms
For a written request form, JP1 sets the local standard. The form gathers your name, an optional organization, phone, email, mailing address, delivery preference, and a detailed description of what you need. Dates, case numbers, names, locations, and any continuation pages all belong in that description. Send the finished form by email to JP1Office@gillespiecounty.gov. Or mail it to the JP1 office on the lower level at 125 W Main Street.
A form works best when you know a record exists. It helps when you cannot reach that record through the portal. Match your precinct, though. Eviction cases sit in the precinct where the property sits. You cannot assume another JP holds the file. The county directory places Precinct 1 on the lower level. Precincts 2 through 4 sit in Suite 140 at Annex 1.
Gillespie Signed Court Record Copies
County Court at Law practice keeps a requested order and the official signed document apart. Ask for setting, order, or judgment copies by email to the coordinator or court address. Fax works too, at 830-307-3783, as does mail. Want file-marked copies? Include a stamped, self-addressed envelope with the request.
Once the judge signs, the clerk mails or emails the signed original or a certified copy. The clerk will not conform your private copy. That means no stamping your duplicate as though it were the official signed court record. So remember the pecking order. A docket line, a proposed order, a file-marked copy, and a certified signed order each carry different weight in Gillespie County.
Public Access and Sealed Records
Texas treats court records differently from ordinary agency files. So the standard executive-branch request route does not always apply. Government Code section 552.0035 hands access to judicial information over to Supreme Court rules. Other applicable law governs the rest. Rule of Judicial Administration 12 governs judicial records, though not adjudicative case records. Those case records answer instead to court rules, statutes, and common law.
Texas court-record rules:
Rule of Judicial Administration 12 supplies the judicial-record framework.
Civil Rules 21c and 76a address sensitive data and civil-record sealing.
Family Code Chapter 58 limits juvenile-record access.
Public still comes with limits. Accessible does not mean every attachment is online, and it never means sealed material gets released.
Gillespie Court Record Redactions
Rule 21c shields sensitive data: driver-license, passport, Social Security, tax-identification, bank-account, and credit-card numbers. Birth dates, home addresses, and minor names get protection too. The rule requires redaction or withholding from remote display for these fields. So do not repeat them in a routine search. Do not publish them from an old image.
Rule 76a starts from the presumption that civil court records are open. Sealing is allowed only under a defined standard. The interest must be serious and specific. The order must be narrow, and no less restrictive means can serve. Family, juvenile, expunction, and nondisclosure rules can reach further. A document you cannot find may be restricted rather than missing. Ask the record custodian instead of guessing why access is limited.
Gillespie Court Record Request Check
Run through five points before you submit anything. They are the court, the cause number, party names, the exact document, and the certification you need. Add a date range and a delivery choice. District Clerk email requests deserve the published processing time. For a County Clerk transaction, bring required identification. For a JP record, use the proper precinct and its stated form.
The Gillespie County courthouse offers no dedicated free docket kiosk, printer, or public-terminal program. No official page describes one. Ask the clerk about in-person access instead of assuming equipment waits for you. If the local portal returns nothing, run the search again in re:SearchTX. Then contact the clerk. Say "no result in this system" rather than claiming no Gillespie County court record exists.
